At Engage Britain, we are committed to protecting and respecting your privacy.

This policy explains when and why we collect personal information about people who use our services, for example by visiting our website or signing up to our mailing lists; how we use this data; the conditions under which we may disclose it to others; and how we keep it secure.

We may change this policy from time to time so please check this page occasionally to ensure that you’re happy with any changes. By using our website, you’re agreeing to be bound by this policy.

Who are we?

Engage Britain is a registered charity, number 1189450. We aim to help people engage with each other to tackle the biggest challenges facing the country. Our Companies House registration number is 12014954. Our registered address is Willoughby House, 2 Broad Street, Stamford, Lincolnshire, England PE9 1PB. We are registered in England and Wales.

How do we collect information from you?

When you interact with us in person, through correspondence, by phone, by social media, or through our website.

If you consent to take part in facilitated sessions, training or other interactions with us, then you will be notified what type of personal data will be collected before giving your consent. You will also be notified about how we will use this personal data and how long we will keep it.

In the above context we may collect your name, phone number, title and email address, in addition, your postal address, organisation name and contact information (if relevant).

We may also collect feedback, comments and questions received from you in service-related communication and activities, such as meetings, phone calls, documents, and emails.  

When you sign up on our website to receive news from us, we collect and process your data to allow us to carry out your request. This information might include your name, email address, billing address, IP address and company, as well as what pages were accessed and when.

If you apply for a job with us, we collect the data you provide during the application process. 

Cookies

Like most websites, Engage Britain uses cookies. These are small pieces of information sent by an organisation to your computer and stored on your hard drive to allow a website to recognise you when you visit.

They collect statistical data about your browsing actions and patterns, but do not identify you as an individual. It is possible to switch off cookies by changing your settings in your browser preferences.

Some cookies are essential to site functionality and cannot be turned off in our systems; by using this site, you consent to these cookies being used. Other cookies are used to analyse how the site is used, to assist in our marketing efforts and to enable social media functionality. You can choose to opt out of these.

Third parties, including Facebook, may use cookies, web beacons and other storage technologies to collect or receive information from our websites and elsewhere on the internet and use that information to provide measurement services and target ads. How is your personal information used?

We may use your information to:

  • Send you communications which you have requested and may be of interest to you. These may include weekly newsletters, information about forthcoming events, blogs, publications, general updates about Engage Britain and other information related to our work
  • Process events booking requests you have submitted
  • Carry out our obligations arising from any contracts entered into by you or us
  • Seek your views or comments on publications, social media content, comment pieces events and other information we provide
  • Notify you of changes to our services
  • Process a grant or job application
  • Invite you to engage in facilitated sessions and other forums in which you have expressed an interest 
  • To draw out insights from our activities 

The lawful basis for processing this information is Legitimate Interests (Article 6(1)(f)). We have a legitimate interest in informing members of the public who have expressed an interest in our work by signing up on our website about these topics. You benefit as well through hearing more about our research where it relates to your work.

We will hold your personal information in our systems for as long as is necessary to carry out the above uses. For example, if you sign up to our mailing list, we will store your data until you unsubscribe (there will always be an option to opt-out in every email we send).

We review our retention periods for personal information on a regular basis. When the personal data that we have collected is no longer required, we will delete it in a secure manner. We may process data for statistical purposes, but in such cases, data will be anonymised. 

Who has access to your personal information?

We will not sell or rent your personal information to third parties. We will not share your information with third parties for marketing purposes.

We may pass your information to our third-party service providers, agents, subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf.

When we use third-party service providers, we disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure, to confirm that they are compliant with the General Data Protection Regulation and not to use it for their own direct marketing purposes.

Where your data may be stored  

Engage Britain uses secure third party suppliers (data processors) in the delivery of its services – the privacy policies of each of these companies is provided below.  

PCS: PCS is our IT service partner. PCS’s privacy policy can be accessed here.

Kinsta: Kinsta hosts our website. Kinsta’s privacy policy can be found here.

Hubspot: Hubspot is our CRM database which we use to store and process personal data. Their privacy policy can be found here.

Microsoft 365: Engage Britain uses accounts with Microsoft to store and manage files which may contain personal data, please see their security statement here. All our data is held on Microsoft’s UK based data servers.

Accessing and updating your information

If you change email address or any of the other information we hold about you is inaccurate or out of date, please email us at: data@engagebritain.org. You have the right to ask for a copy of the information Engage Britain holds about you. We may charge a small fee for information requests.

Security precautions to prevent the loss, misuse or alteration of your information

Non-sensitive details such as your email address are transmitted normally over the internet, and this cannot be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us and you do so at your own risk.

Once we receive your information, we will make our best effort to ensure its security on our systems. Where we have given – or you have chosen – a password which enables access to certain parts of our website, you are responsible for keeping it confidential and we ask that you do not share your password with anyone.

People aged under 18

We are concerned to protect the privacy of children and young people under the age of 18. If you are under 18 years old, please obtain your parent/guardian’s permission before providing us with personal information.

Transferring your information outside of the UK

As part of the services offered to you via this website, information which you provide to us may be transferred to countries outside of the UK. These countries may not have similar data protection laws to the UK.

By submitting your personal data, you are agreeing to this transfer, storing or processing. If we do transfer your information outside of the UK in this way, we will take steps to ensure that appropriate security measures are taken with the aim of ensuring that your privacy rights continue to be protected as outlined in this policy.

We reserve the right to remove or amend this this privacy policy. If we decide to replace or change it, we will post a new policy or the changes to this privacy policy on this page.
